Setting up QuickBooks correctly and using it the right way is critical to you knowing how to run your store for higher profits and to keep more of the money flowing through your hands.

May 12th & 13th, 2008 in Atlanta, GA.         For stores that don't have a point of sale                                                                                       program, that inventory is not a large part of their
                                                                          stores investment. This workshop is designed
                                                                          more for stores doing less than $500,000 a year
                                                                          in sales.

May 15th & 16th, 2008 in Atlanta, GA.         For stores that want to integrate their point of
                                                                          sale numbers right into QuickBooks
                                                                          (i.e. The Edge; Jewelry Shopkeeper; Ibis;
                                                                          Clarity, etc)

June 2nd & 3rd, 2008 in Las Vegas, NV.      For stores that want to integrate their point of
                                                                          sale numbers right into QuickBooks
                                                                          (i.e. The Edge; Jewelry Shopkeeper; Ibis;
                                                                          Clarity, etc)

 

 

This two day workshop is made specifically for the jewelry store owner and/or bookkeeper. Most of us aren’t “number crunchers” and would rather sell. But once setup, just a few minutes a month of reviewing the month’s business with some of the techniques we will show you, your store can become a CASH COW!

We have our classes in computer class rooms. Each store is sitting at a computer and through some free software, you will be connected directly to your stores computer and will work directly in your store's copy of QuickBooks. You will have your own computer and QuickBooks will already be loaded on it for you to use in some things we do in class as well as working with your stores computer. .

If you’re a current QuickBooks we will, in class, re-arrange the chart of accounts specifically for a jewelry store. Once you return to your store you will have everything all setup correctly. This is not a “HOW TO” workshop, it’s a “LET’S GET THIS SETUP AND RUNNING TODAY” workshop.

In addition, if you have a Point of Sale program, we will show you what reports to run and how to maximize your cash and reduce over buying, the number one culprit of jeweler’s financial distress.

Workshop Agenda:

DAY ONE:

o       The one single magic number in a jewelry store that shows you how inventory is 
       performing.
o       Fast sellers – what are they and how to make them release all of their money.
o       How to know what to buy based upon price points.
o       Are you buying the wrong price points?
o       When is inventory old?
o       Why even selling at triple keystone after 2 years is a bad thing.
o       15 Strategies to turn old inventory into cash.
o       Everything you’ll need to know from your Point of Sale program to get more money out of
      your store and stop being cash poor in January.

o       Setting up your chart of accounts specifically for a jewelry store (see below after day two)
o       If you've never used QuickBooks before, we will give you the chart of accounts already setup
      and you'll start by entering dollars directly into QuickBooks for the check register, inventory
      numbers, etc. We're here to hold your hand.

o       Setting the store up into 3 profit centers in QuickBooks
o       Go over the complete setup of QuickBooks for a jewelry store.


Even if you don’t now own or use a Point of Sale program, this workshop is for you. Paper systems can work too, although we push everyone for a computerized point of sale program. We will have The Edge and Jewelry Shopkeeper on the class computers if you would like to see how they work. We use these software programs to demonstrate inventory.

The work shop on May12th & 13th - stores without a point of sale program spends less time on inventory. Explained further, below.

DAY TWO

QUICKBOOKS

Here’s what we’ll cover on day two:

o       How to get the data entered from your point of sale program by groups rather than individual
      sales. This takes only 8 minutes a morning and you're done!
o       Using QuickBooks payroll program or an outside provider and using QuickBooks.
o       Using and downloading your own credit card purchases in QuickBooks.
o       Memorized transactions to make the same monthly transactions a snap.
o       Downloading your daily banking transactions. Life’s a breeze! (David will use his own 
      company’s file and do a live download for you in class)
o       Downloading your own American Express charges, Visa too!
o       Enter bills, setup of accounts payables. Writing checks, paying bills/checks online.
o       Easy way to reconcile the bank balance. It's a snap!
o       Secrets of using QuickBooks in less time.
o       Linking QuickBooks your Point of Sale program.
o       How to read and understand a Profit & Loss Statements and Balance Sheets.
o       Setting up a budget (we will start yours right here in the workshop.)
o       3 ways to backup your data.

Why is all of this so important?

Because if you don’t have your numbers setup correctly you won’t be able to find out how you’re going, what you’re doing wrong and what to do about it. You should be able to run and understand your business each month rather than wait 12 months alter for the accountant. It’s kind of hard to fix a problem a year after it occurred. But monthly you can start making adjustments. We're not looking for you to replace your accountant or CPA. No matter how you write your checks, you're doing half the work already.

If it was done correctly in QuickBooks you could reduce your annual accounting costs, get accurate and understandable information each week or month and using QuickBooks EASILY will save you 60% of the time you now spend paying bills each month just because of how easy QuickBooks is to use.

If you hand write 20 bills on a given day and I use QuickBooks to pay the some bills; while you're writing check #6 and addressing the envelope, I will have all 20 of mine in the outgoing mail box waiting for the postman! Time is money.

A jewelry store should be setup into THREE separate income categories:

1
.         Showcase Sales and their Special Order Sales (sales of things we own)
2.         Memo Sales) (sales of things we don’t own)
3.         Shop Sales

In this way, by separating things we own by things we don’t own, we can correctly see our turn numbers and also see that “magic” number all jewelry stores have that you have never seen.

This is also the only way to see how the shop is doing. Why? Because each income mentioned above has a cost of goods. The costs of the shop are:

1.         Jewelers wages
2.         Jewelers matching taxes
3.         Findings/Gold/Stones
4.         Tools/Shop supplies

This is the only way to easily see the profits of the shop. In this way you can see at any time how the shop is doing, instantly!


 

SPECIAL INFO FOR STORES WHO WOULD ATTEND THE MAY 12TH & 13TH WORKSHOP
(Stores at about $500,000 or less in sales and no point of sale program)

This one workshop is designed specifically for smaller stores who don't have a point of sale inventory program, hand write all receipts, have about or less than $150,000 in inventory and have no plans to computerize the inventory and repair software.

This is the first workshop we've design specifically for the smaller jeweler. Although we believe every store benefits greatly by having a computerized inventory program some stores can't afford the $3000 + price tag; wouldn't benefit from having such a program; inventory sales aren't a large enough part of their total sales income or "just refuse to budge".


So in this workshop we will show you how to use QuickBooks to keep track of your inventory, the sales of jewelry along with shop sales, keeping a customer database/mailing list in QuickBooks and even using it at the front counter.

On Day two of this special workshop we do the exact same "To Do List" as the other workshops. Day one gets into using the QuickBooks program to track inventory. QuickBooks does not run any of the inventory reports that the jewelry point of sale programs do, but its not as necessary if you're a small store.

Again, this workshop is only for smaller stores. Any store having more than $150,000 in inventory and its a large part of their total sales should attend one of the other two workshops even if you still don't have a point of sale program.

Each class has 12-15 computers and each store can sit at one computer. There is also only room for one more chair. So for a small additional fee, your store can bring a total of two people. Bring your bookkeeper or spouse.

There are 4 hotels within 1/2 mile to 1 mile to the workshop and they all offer free shuttle service to the classroom.

 

Getting to the hotels from the Atlanta (ATL) Airport

The absolute easiest way to get to the hotels is to take the Marta Train from the airport. For $2 you'd take the northbound train from right inside of the airport. Get your bags, walk a few steps and get into the train station that's in the airport going north. There is one train north from the airport, you might have to get off this train on a ramp at Lindberg, wait on the ramp and get back on a train (free) to go to North Springs; Sandy Springs; Dunwoody.

Once on, you'd then EXIT at the Sandy Springs Station (#N10). Then you'd get up to the street and using your cell phone, call the hotel and a shuttle will pick up up, less than a mile away.

Returning to the airport

It's just as easy. get on the same train at the same station. This time you don't have to get off the train, it's a straight shot into the airport.

It's an easy 45 minute ride from the airport to the Sandy Springs station hwre the hotel and workshops are.

In making plane plans, you HAVE to be inside the airport a minimum of 1 3/4 hours prior to take off, planning for a 45 minute train ride, you'd have to leave no later than 2.5 hours prior to your flight time and class is over at 5:30pm. So if you can't get a flight leaving later than 8pm, plan to stay over one night, although if you had to leave class a tad early, it wouldn't be that terrible.

Renting a Car

The Atlanta airport has car rental counter as you come up to bacggae claim, easy access via shuttle buses. You can plan on 35-55 minutes, depending upon traffic to and from the airport.
